Background
The Ontario Universities’ Information Sessions are hosted using the Acadiate virtual event platform.
Each virtual event is divided into four 30-minute sessions, where students can learn about the universities of their choice and ask questions.
Each university has a page (“showcase”) on the Acadiate website that includes their information, session schedule and session descriptions. During the live event, each university showcase is replaced with links to join the live presentations. New sessions begin on the hour and half hour.
Data Collection During the Virtual Information Sessions
Each student is given a unique link to join the virtual Information Sessions, which allows them to share their contact information through the Acadiate website with the universities they are interested in.
Registration for the fall virtual Information Sessions starts on August 5, 2025, and the event website will remain open until November 11, 2025. You will receive instructions on how to access and download your event leads in August. We recommend that you check and download your leads regularly between the fall events, as students can share their contact information with the universities at any time while the event website is open.
Instructions
New for 2025: Universities must submit their updated event information for both fall events, including session schedules and links, by July 25.
If you need to make changes to your showcase information or session schedule between the live events, email your changes to: ouevents@ouac.on.ca.
How to Submit Updates
- Review your showcase information on the Acadiate website(s):
- Download the Fall Information Sessions spreadsheet. In each corresponding tab, input your:
- Edits to your Acadiate showcase.
- Session schedule, titles and descriptions for both events.
- Session links for both events (e.g., Microsoft Teams, Zoom).
- Note: If you have a showcase on both the English and French Acadiate websites, please submit changes for both showcases.
- By July 25, email your completed Excel file to: ouevents@ouac.on.ca.
- If you are submitting a new background image or logo image, submit them to ouevents@ouac.on.ca using whatever method is easiest for you (email, WeTransfer, SharePoint, etc.).
How to Title Your Virtual Sessions
Your session titles appear on the event schedule and in your university’s showcase. You can choose your session titles at your discretion. Please title your virtual meetings (in Microsoft Teams, Zoom, etc.) according to the naming convention, which will help attendees understand which session they are joining.
- If using different links for all sessions:
- Format: Session title: time
- Example: Engage with the OUAC: 5 pm
- If using the same link for all sessions:
- Format: University Name’s Virtual Information Sessions: September 16, 2025
- Example: OUAC’s Virtual Information Sessions: September 16, 2025
Reminder: Your live session links will be hidden until 2 hours before the event.
